Assistant Training Center Manager

Currently seeking an Assistant Training Center Manager (Meeting and Event Planner) for a well-known non-profit agency in Richmond, VA.  The Associate Training Center Manager is the main point of contact for reservations, set ups and customer requirements for meetings and events held at the agency’s headquarters.  Excellent hourly rate and benefits offered. 

Responsibilities:

  • Management of meeting and events held at agency’s headquarters. Recommend policy changes, updates and service levels. Establish procedures and processes for coordination of events.
  • Conduct pre-planning meetings for customers to identify their needs and support their event planning process.
  • Participate in conference calls and/or attend meetings with clients when needed.
  • Assist clients in selecting the best space for their usage; conduct tours for potential clients to help them understand what is available. Schedule events and manage catering orders.
  • Coordinate resources for events (security, IT, facilities management, food service)
  • Monitor event related email and follow up within 24 hours.
  • Communicate last minute changes and requests to teams, confirm with the customer and update the event order.
  • Maintain an inventory of conference supplies such as flip charts, markers, notepads, pencils, and perform replacement orders prior to running out.
  • Report facility issues to the proper department (e.g. lighting, ice, microphone issues)
  • Meet with contractors, technicians, etc. as needed.
  • Work closely with the cleaning service company to service rooms.
  • Receive training supplies from vendors and appropriately store. Maintain and track usage.
  • Inform management of trends and potential issues and risks; establish procedures and processes for books and materials in the Reading Room/Library.
  • Inventory reading materials and handle distribution.
  • Inventory, manage, and stock agency’s Prop Shop.
  • Distribute signage for events and learning activities.
  • Develop a process for cataloging, archiving and retrieval of agency’s event photos.

  Knowledge/Skill Requirements:

  • Strong customer service skills.
  • Highly proficient in Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint)
  • Demonstrated use of Project Management and Visio preferred.
  • Consistently strong attendance record.
  • Must be a team player with excellent communication interpersonal and organizational skills.
  • Ability to interact with all levels of business clients.
  • Must be flexible in nature and have the ability to quickly and smoothly handle unanticipated changes and needs.
  • Strong attention to detail and the ability to establish priorities and meet deadlines.
  • Ability to lift or push up to 50 lbs (e.g. tables, chairs, podium, boxes).
  • Possess the ability to handle sensitive and confidential situations as well as demonstrate poise, tact and diplomacy. 

Education & Experience:

  • Two or more years of related experience in a hotel and/or conference center
  • Associate’s Degree in Hospitality Management, Hotel/Conference Center Management
  • Experience with audio/visual equipment such as laptops, projectors and microphones.
  • Knowledge of Microsoft Outlook and event planner software tools
