Administrative Assistant_Waterford, CT

Administrative Assistant needed for a well-known company in Waterford, CT.  This is a six-month temporary position with a possibility for permanent hire after six months.  Excellent hourly rate and benefits offered.

Qualifications:

  • Professional demeanor with discretion and maturity to handle HR and confidential/sensitive information.
  • High level of initiative and ability to use judgment.
  • Strong skills operating computerized and standard office equipment.
  • Excellent skills using word processing, spreadsheet and graphics software.
  • Strong planning and organizing skills.
  • Extensive clerical/administrative experience including time & data entry applications, work/project management updates, financial/accounting applications, and customer information.
  • Ability to collect, compile and analyze information and data.
  • Education High School or GED preferred Discipline

Responsibilities:

  • Under general supervision, this role provides a high level of clerical and administrative support to management in a department consisting of both craft and office professionals.
  • Administrative duties include handling sensitive and confidential information related to labor relations; FML and attendance; employee performance and status; hiring and onboarding new employees; etc.
  • Process duties include compiling and releasing project packages from work management system; reconciliation and closing of completed field projects; accurate and efficient entering of employee time sheets; lookup and updating customer information; reconciling purchasing card transactions; update work schedule and employee status information in callout system; processing invoices; making travel arrangements; assisting in storm restoration roles in logistics and outage management; etc.
  • Performs general office duties such as: answering telephone calls, making appointments and scheduling meetings; initiating and composing correspondence; collects, compiles and analyzes information and data; performs higher level calculations and analyses; investigates questionable areas and makes administrative decisions; maintains and updates office supplies and assists in maintenance of department files.
  • Exercises discretion in performance of duties and responsibilities. May provide guidance and assistance to less experienced office support staff.

Provides typing and word processing support. Regularly uses computer software such as word processing, spreadsheets, graphics and presentation software.
