Position Title: Talent Acquisition Coordinator

Duration:1 year assignment – option to extend 

Regular Hours:  Monday – Friday – 8am to 5pm – potential for over-time

Pay Rate: $20-25

The Talent Acquisition Coordinator works closely with Recruitment Managers to ensure a smooth process for candidates. This position will be responsible for scheduling interviews, arranging candidate travel, sourcing candidates, managing the recruiting process, overseeing pre-employment background investigations, and generating all appropriate onboarding paperwork needed. 


Specific responsibilities:

  • Coordinate calendars of candidates, clients and recruiters
  • Schedule high-low volumes of job interviews, including hotel and travel arrangements.  Send interview confirmation emails. Notify internal and external stakeholders who should be notified of all new hires.
  • Serve as first point of contact for interviews.  Alert Security of candidate arrivals. Meet with candidate onsite to escort them to interviews
  • Utilize various tools to include LinkedIn recruiter to source for passive candidates for open positions.
  • Forward selected resumes to Recruiter and/or Hiring Manager
  • Manage candidate flow through the Applicant Tracking System, Kenexa BrassRing
  • Create folders, organize and retain documents, as appropriate, file closed/canceled folders in the file room.
  • Create offer packages (pulling folders, bags, UPS materials).  Print UPS mailing slips. Mail  packages
  • Facilitate I9 completion.  Review I9s for accuracy.  Resolve any I9 issues
  • Ensuring all on-boarding paperwork is filled out completely and accurate. Provide new hire paperwork to HR Direct and Payroll
  • Calling HR Direct for previous employment checks
  • Check rehire statuses with HR Direct for former employees
  • Process candidate reimbursement following the company’s guidelines


Education/Experience Required:

  • Minimum of 2-5 years of practical experience in an HR/Staffing environment and with a Hiring Management System (HMS) preferred
    • Competency with MS Office Suite, including Excel 
    • Associates or Bachelor’s Degree preferred
