Travel Coordinator

Travel Coordinator needed for a well-known financial institution in Richmond, VA.  This position will support and execute business travel processes and secure travel reservations for all levels of department staff and management. The ideal candidate is an experienced high volume, customer focused travel coordinator, highly organized, an excellent communicator, and a cross district team player with exceptional time management skills. This position will require proficient and accurate data entry skills.

Responsibilities:

  • Act as coordinator of hotel, flight, train and rental car reservations, ensuring accuracy and compliance with Bank’s travel policy.
  • Creates weekly car assignment spreadsheet and maintains vehicle mileage and maintenance log.
  • Communicates effectively with staff about picking up and returning car keys.
  • Communicates with mechanics regarding maintenance issues.
  • Coordinates with management and Corporate Accounting department to ensure the rules and regulations of the Bank's travel policy are followed.
  • Verifies that alternate travel forms have been prepared before any reservations have been made.
  • Ensures compliance with Bank’s travel policy and solicits approval from management prior to making reservations.
  • Completes interview reimbursement requests and forwards them to management for approval.
  • Establishes and manages effective relationships with all levels of staff as well as other departments.
  • Add value daily by demonstrating outstanding, consistent, reliable, and accurate customer service to stakeholders.
  • Respond to traveler questions and concerns in a timely and professional manner.
  • Performs various department administrative duties, as assigned. 
     

Qualifications: 

  • Must have travel experience -specific to booking travel reservations and reimbursement of expenses.
  • Minimum of three (3) to five (5) years’ experience in coordinating travel arrangements for organization.
  • Excellent organizational skills, multitasking abilities, and ability to prioritize work independently.
  • Strong oral and written communication and listening skills.
  • Proficient in business English to interact with all levels of department staff and management.
  • Ability to tailor messages to audience needs.
  • Ability to perform all duties with a high degree of efficiency and accuracy and a demonstrated ability for attention to detail.
  • Proven ability to work independently with little supervision, but also to work with other administrative staff to accomplish goals and tasks as needed.
  • Exceptional interpersonal skills to interact with all customers and staff members.
  • Ability to work in a demanding environment to meet deadlines and impromptu requests.
  • Ability to interpret and ensure compliance with department travel policy and Bank travel guidelines.
  • Proficient in Microsoft Word, Excel and Lotus Notes.
  • Ability to learn and become proficient in the utilization of travel applications.
  • Proficiency in online travel reservation systems is required.
  • Ability to consistently demonstrate initiative in the performance of responsibilities and deliver service excellence.
